Privacy policy

Last updated: 29/09/26

We know that when you hand over your details, you’re trusting us with them. This policy explains, in plain English, what personal information we collect, why we collect it, how we look after it and what your choices are. If anything here is unclear, just ask us – our details are at the bottom.

1. Who we are

Party In The Paddock (PITP) is run by Vibestown Productions Pty Ltd (ABN 97 609 008 853) (we, us, our). This policy covers the PITP website (www.partyinthepaddockfestival.com.au), the PITP festival app, our social media channels, our email and SMS communications, and the festival itself.

We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

2. What we collect

Depending on how you interact with us, we may collect:

  • Contact details: your name, email address, mobile number and postcode or state.
  • Your date of birth, so we can check age requirements and understand who comes to PITP.
  • Ticket and purchase details, such as the ticket types you bought and when. Tickets are sold through our ticketing partner Oztix, who processes your payment. We do not receive or store your full card details.
  • Information you give us in forms: pre-sale and mailing list sign-ups, competition entries, surveys, accessible camping requests, hardship ticket applications, and applications to volunteer, work, perform, trade or shoot at PITP.
  • Under-18 guardian information: when a parent or guardian completes our Underage Consent Form, we collect details about the young person, the parent or guardian, the appointed adult and the witness.
  • Health and accessibility information (sensitive information), such as access requirements or medical needs you choose to tell us about. We only collect this with your consent, and only use it to support you at the festival.
  • Information from the festival app, such as your account details, favourited artists and notification settings.
  • Website and device information collected through cookies and similar tools (see section 9).
  • Photos and video: PITP is a public event and we film and photograph it (see section 8).

You don’t have to give us your personal information, but if you don’t, we may not be able to sell you a ticket, process an application or let you enter a competition.

3. How we collect it

We collect most information directly from you, for example when you fill in a form, buy a ticket, enter a competition, use the app or contact us. We also receive information from partners who help us run PITP, such as our ticketing provider

4. Why we use it

We use your personal information to:

  • sell and deliver your tickets, and manage entry, wristbands and camping;
  • keep people safe on site, including checking ID and managing under-18 guardian requirements;
  • provide accessibility support and medical assistance;
  • send you important festival information, such as gate times, weather updates and changes;
  • send you news, offers and pre-sale details, if you’ve agreed to hear from us (see section 5);
  • run competitions and prize draws, and contact winners;
  • assess and manage volunteer, staff, vendor, artist and media applications;
  • understand our audience and improve the festival, the website and our marketing, usually using combined, de-identified data; and
  • meet our legal obligations and respond to incidents.
5. Emails, SMS and marketing

We’ll only send you marketing emails or texts if you’ve agreed to receive them, or where the law otherwise allows it. Every marketing message includes a simple way to unsubscribe, and you can also email us to opt out at any time.

Even if you unsubscribe from marketing, we may still send you essential messages about a ticket you’ve bought, such as gate times or safety updates.

6. Who we share it with

We don’t sell your personal information. We share it only where needed to run PITP, including with:

  • our ticketing and resale partners Oztix;
  • service providers that host, store or send our communications, such as our website platform, our email and SMS platform, our festival app provider.
  • on-site medical, security and emergency services, where needed to keep you or others safe; and
  • government authorities or police where the law requires or allows it.
  • advertising platforms such as Meta and Google, including in a scrambled (hashed) form, so we can show relevant ads to people who’ve been to PITP or signed up for updates;

We will not share your details with sponsors or partners for their own marketing unless you’ve clearly agreed to this.

7. Overseas storage

Some of our service providers store data on servers outside Australia, including the United States. Where this happens, we take reasonable steps to make sure your information is handled in line with Australian privacy law.

8. Photos and video at the festival

PITP is a public event. By attending, you acknowledge that you may appear in photos or footage taken by us or our media partners, which we may use to promote PITP. If you’d rather not be filmed, let our crew know on the day. If you’d like a specific image of you removed from our channels, email us and we’ll do our best to take it down.

9. Cookies and online tracking

Our website uses cookies and similar tools (including  Meta Pixel and Google Analytics) to understand how people use the site and to measure and improve our advertising. You can manage or block cookies in your browser settings, and adjust your ad preferences on the relevant platforms.

10. Under-18s

PITP is an all-ages event. We collect information about under-18s only where needed to sell tickets and meet our guardian and safety requirements, such as through the Underage Consent Form. We don’t knowingly send marketing to anyone under 18 without a parent or guardian’s consent.

11. How we protect and keep it

We take reasonable steps to protect your personal information from misuse, loss and unauthorised access, including access controls and secure, reputable service providers. We keep information only for as long as we need it for the purposes in this policy or as required by law. After that, we securely delete or de-identify it.

If a data breach is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner (OAIC) as required by law.

12. Automated decisions

We do not use computer programs to make decisions about you, using your personal information, that significantly affect your rights or interests.

13. Accessing or correcting your information

You can ask for a copy of the personal information we hold about you, or ask us to correct it, at any time. Email us and we’ll respond within a reasonable time, usually within 30 days. We may need to confirm your identity first.

14. Questions and complaints

If you have a question or a concern about how we’ve handled your personal information, please contact us first. We’ll look into it and get back to you, usually within 30 days.

If you’re not happy with our response, you can contact the Office of the Australian Information Commissioner at www.oaic.gov.au or on 1300 363 992.

15. Changes to this policy

We may update this policy from time to time. The latest version will always be on our website, with the date it was last updated.
